Job Description
We are hiring a very proactive and extremely detail-oriented office manager with excellent interpersonal skills, and very strong work ethic. This position reports directly to the Coo and is responsible for all business and related duties.
Responsibilities:
- Greet visitors and determine whether they should be given access to specific individuals.
- Attend meetings to record minutes.
- Compile, transcribe, and distribute minutes of meetings.
- Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters.
- Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf.
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
- Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
- Maintaining comprehensive and accurate records
- Coordinate all needed arrangements, plan logistics, and submit expense reports.
- Screen all incoming phone calls, inquiries, visitors, and E-mails and acts upon.
Job Requirements
Qualifications:
- Bachelor's degree Accounted is a must
- 5 years of experience in administrative support functions
- Excellent communication skills (written and verbal). (Arabic & English, French is a plus)
- Strong organizational skills and ability to prioritize multiple tasks with a strong attention to details.
- Ability to speak effectively among executives, clients, customers, and employees.
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
- Very strong interpersonal skills and the ability to build relationships with key stakeholders
