Job Description

We are currently seeking an experienced and dedicated Admin Assistant to join our team. As an Admin Assistant, you will provide administrative support to ensure efficient operation of the MD office. You will also assist in accomplishing organizational objectives by performing a variety of administrative tasks. The ideal candidate for this position is proactive, detail-oriented, and possesses excellent organizational and communication skills.

Responsibilities

  • Assist in managing calendars, scheduling appointments, and coordinating meetings
  • Handle incoming calls and correspondence in a professional and timely manner
  • Prepare and distribute internal memos, emails, and documents
  • Maintain office filing and record-keeping systems
  • Coordinate travel arrangements for staff members
  • Assist in organizing and planning company events and meetings
  • Provide general administrative support to staff members as needed
  • Assist in the preparation of regularly scheduled reports
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers

Job Requirements

  • Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
