Position Overview:
We are seeking a detail-oriented and organized individual to join our team as an Administrative and Procurement Officer. The ideal candidate will be responsible for handling administrative tasks efficiently while also managing procurement processes effectively.
Responsibilities:
1. Administrative Duties:
- Manage office supplies inventory and reorder when necessary.
- Organize and schedule meetings, appointments, and travel arrangements for team members.
- Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
- Maintain electronic and hard copy filing systems.
- Assist in the preparation of reports, presentations, and data analysis.
- Provide administrative support to ensure efficient operation of the office.
2. Procurement Responsibilities:
- Source suppliers and obtain quotations for goods and services needed by the organization.
- Negotiate with vendors to secure favorable terms and pricing.
- Prepare purchase orders and contracts, ensuring accuracy and compliance with company policies.
- Track orders and ensure timely delivery of goods and services.
- Maintain records of procurement activities, including contracts, invoices, and payment receipts.
- Evaluate supplier performance and address any issues or concerns.
3. Collaboration and Communication:
- Coordinate with internal departments to understand their procurement needs and requirements.
Job Requirements
Qualifications
Bachelor's Degree in business administration is preferred.
3+ years of experience as an assistant / office manager.
Strong analytical skills and data-driven thinking
Fluent English.
